Responsible for coordinating programming operations for the Office of Graduate Development and Postdoctoral Affairs and communicating with campus stakeholders; coordinate graduate student professional development seminars and workshops; develop, prepare and distribute surveys; and manage the programs through planning, promotion and implementation.
Operational and Financial Management:
- Organize and coordinate graduate student professional development seminars and workshops by confirming speakers, scheduling classrooms, and distributing information.
- Organize and assist graduate students with planning major events.
- Plan, execute, and assess logistics of Graduate Student Orientation Day as part of a team.
- Plan and execute logistics of the Three Minute Thesis Competition as part of a team.
- Prepare, compile, and analyze data for special projects including the Graduate College’s annual report.
- Collect and compile sample resources from students including winning fellowships and job materials.
- Manage registration and requests for Graduate College Professional Development services.
- Compose a monthly communication with relevant news and resources for graduate students to be distributed to students, faculty and administrators via Listserv.
- Maintain a database of students who have used Graduate College Services, including BookMe records and attendance at events.
- Monitor, maintain, and update web content for the Graduate Careers & Fellowships Office.
- Develop, prepare, and distribute surveys; collect and maintain survey data for evaluating the quality of workshops.
Compliance:
- Coordinate applicable compliance standards.
- Assist in the evaluation of program effectiveness and impact; and consult with the Assistant Dean to evaluate and plan for future needs.
- May provide functional and/or administrative supervision of staff.
Successful candidates will be subject to a criminal background check.
Education Requirement
- A bachelor’s degree in a relevant field or an equivalent combination of relevant education and experience is required.
- Administrative and program experience (typically one to three years) is required including preparing, compiling and analyzing data/reports; event coordination; and program management.
- Working proficiency with word processing, spreadsheets, presentation, database, web content management, online survey, and desktop publishing computer software applications is required.
- Demonstrated excellent written and verbal communication skills; ability to effectively transmit, receive and accurately interpret ideas, information, and needs through appropriate communication methods and behaviors at a working proficiency level is required.
- Demonstrated working proficiency in the ability to work with variety of individuals and groups in a constructive manner while appreciating the unique contribution of diverse individuals is required.
- A Master’s degree in a related field is desirable.
- Working knowledge of policies pertaining to graduate students is desired.
- Demonstrates a working proficiency in the ability to collaborate and interact with individuals and groups.
- Demonstrates the ability to adjust and develop self to prepare for new or changing assignments, processes, people or priorities as organizational needs dictate at a working proficiency level.
