Project Manager/Event Administrator
A small biotech company located in Durham, NC is seeking a Project Manager/Event Administrator to oversee the operations of its conferences and workshops. Candidates must demonstrate the ability to multi-task and be responsive to the needs of multiple stakeholders.
Responsibilities include, but are not limited to:
*Create and manage timelines and adhere to pre-determined deadlines;
*Develop marketing and communications plans;
*Research venues, suppliers and contractors, and then negotiate prices and hire;
*Develop detailed specifications for meeting room assignments and setups, food and beverage needs, audiovisual requirements, and all other services required to execute the conference;
*Oversee and execute planning committee activities to include the scheduling of conference calls and in-person meetings, take minutes and provide appropriate follow-up;
*Initiate speaker invitations based on planning committee directives, follow-up with speakers regarding their commitment to the event and their needs related to attending the event (i.e., travel and accommodation needs, expense reimbursement);
* Work with website development provider to create and update site containing appropriate information, including program description, fee schedule, and on-line registration process;
*Develop and monitor budgets to ensure revenue and expenses are kept within established boundaries. Review financial information for accuracy, such as invoices for services and materials; venue invoice, subcontractor invoices, etc.;
*Attend the event and provide on-site management and support.
Requirements:
A minimum of five years' experience in conference planning and management for audiences of 300 or more, proficiency in Microsoft Office, excellent verbal and written communication skills, and the ability to travel to one to two events per year.
