The George Mason University, School of Business invites applications for the position of Program Coordinator. The primary focus is to perform the multiple necessary program coordination tasks that will assist the team in delivering successful non-credit open enrollment and custom executive development programs. This is a full-time classified staff position with full benefits.

Responsibilities:

Program Coordinator has responsibilities in the following areas:

Program Coordination

  • Provide support for overall program management and logistics for role-based open enrollment programs, non-credit contract training programs and other programs and events as assigned;
  • Assists with the coordination of all aspects of program operations and logistics including maintaining effective communication with all stakeholders (participants, instructors, vendors, other university departments, and clients, etc.), assists with program related questions, materials, catering, preparation of certificates and program evaluations;
  • Uses Salesforce to track program participant records and communicates with participants as directed;
  • Assists with uploading materials to Blackboard;
  • Participates in end of program/project debrief;
  • Prepare course materials (book orders, evaluations, evaluation summaries, online surveys, registration forms, CPE forms, and other materials as needed);
  • Executes in a timely manner accurate invoicing for client and individual participant payments;
  • Catering requests, confirmation, and follow-through;
  • Room reservation and coordination with Events Management; and
  • Prepare reports, correspondence, and other written materials as directed.

Participant and Faculty Coordination

  • Assists participants to register for executive development programs;
  • Supports and assists executive development program participants by answering questions and communicating program information;
  • Assists registrants with making program payments; and
  • At the direction of the supervisor, communicate dates, details, and scheduling of programs with faculty.

Backup Administrative Support/Receptionist

  • In the absence of the receptionist, provide front desk coverage at 9900 Main Street and assists faculty as needed; and
  • Back-up for primary p-card holder. Makes purchases as directed.

Special Projects

  • Assists the Executive Development team with special projects as needed. Example of special projects would be researching or compiling data on past programs or programs at other universities (as directed).

Required Qualifications:

  • Bachelor's Degree or equivalent combination of relevant education and experience;
  • Knowledge of general business operation practices and procedures;
  • Skill in the use of computer software and applications such as Microsoft Office Suite, electronic calendaring, and e-mail;
  • Knowledge of Salesforce and Blackboard preferred;
  • Ability to organize, prioritize, and manage multiple tasks with a high degree of accuracy;
  • Ability to work with multiple constituents;
  • Ability to problem solve and think quickly under changing circumstances;
  • Ability to work independently and to complete multiple tasks within tight deadlines;
  • Skill in providing customer service skills;
  • Skill in interpersonal, verbal, and written communication;
  • Skill in organization and time management;
  • Ability to learn web-based database platforms and applications;
  • Ability to work effectively and respectfully as a key member in a dynamic, fast-paced, demanding environment with frequently changing priorities;
  • Ability to handle matters with discretion and maintain confidentiality in a highly visible office;
  • Experience providing support in an academic or business environment;
  • Experience handling varying levels of customer demands; and
  • Experience providing program support for complex projects.

Preferred Qualifications:

  • Knowledge of Salesforce and Blackboard.
